How it works
From a folder of documents to a working operations hub
Onboarding is a guided process, not a technical project. Here's exactly what happens between the first conversation and your team using the platform day to day.
- 1
Talk to us about your operation
Tell us what your team runs on today — SOP manuals, training decks, forms, checklists — and in what formats. We set up a company workspace and assign your Company Admin.
- 2
Add your company details and branding
Your admin sets the company name, logo, accent colour and welcome message. Every page your team sees carries your branding, with OPPS Academy powering it underneath.
- 3
Invite your team
Your admin invites administrators, managers, trainers and employees by work email. Each invitation states exactly what that person will be able to access.
- 4
Upload your existing material
SOPs, manuals, policies, training documents, procedures, forms, PDFs, Word documents, images — drag them in as-is. Nothing needs to be reformatted before it goes in.
- 5
Choose or create your structure
Set up the departments, categories and training paths that match how your operation is actually organized — or let OPPS Academy propose a structure from what you uploaded and adjust it.
- 6
OPPS Academy organizes the material
Uploaded documents are analyzed and classified into procedures, training modules, forms and checklists, each one keeping a link back to its original source file.
- 7
Review before it goes live
Nothing reaches employees unreviewed. Your admin checks the generated structure, corrects anything that needs it, and publishes it internally when it's ready.
- 8
Keep adding, any time
New SOPs, categories, departments or training programs can be added whenever your operation changes — this isn't a one-time import.
"Every new hire should be able to open the platform and find what they need, without anyone walking them through it first."
That's the standard onboarding is designed to meet — for your team, and for everyone your team hires after you.
What onboarding is not
No technical project, no waiting on developers
You don't need a developer or IT project to get set up — an administrator does it from an admin console.
You don't need to reformat your documents first — PDFs, Word files, scans and images are uploaded as they are.
You don't get a shared library with every other customer — your workspace, users and documents stay isolated to your company.
You don't finish onboarding and stop — categories, departments and training can be extended at any time as your operation changes.
Once you're live
Day-to-day use, for every role in your company
Employees
Search for a procedure, follow it step by step, complete a checklist, or pick up a training path assigned to them — all inside your company's own workspace.
Administrators
Keep adding documents, adjust categories and training paths, manage who can see what, and review what's still waiting on a decision — all from one console.
